Review your Year End Forms Guide for the default Tax Form run date and if it is not suitable, be sure you complete and submit the Tax Form Production and Envelope Option Request Form to request an alternative date.

Receive and verify your Last Pay of the Year Tax Form Trial Balance reports.

  • Ensure name and address information is up-to-date
  • Review missing or invalid Social Insurance Numbers to avoid any penalties

Review your Business Numbers and, if applicable, your Québec Identification Numbers

IMPORTANT: Missing or invalid CRA and/or Revenu Québec Business numbers will prevent Tax Forms from being reported on ADP Electronic filing at Year End.

Balance your government remittance statements with your Report of Tax Form balances. See our balancing tool for assistance with this task.

pay@Work - Submit Year End Adjustments using the <Year End> Tab located on the top right hand corner of your screen. After the adjustment has been completed, click <Process Payroll> to finalize.

You can submit Year End Adjustments once a day, on any business day. Check out our online tutorials for help with preparing any adjustments.

Telephone payroll - Submit Year End Adjustments through the Year End Telephone Payroll Input

Request new Tax Form Trial Balance reports after each Year End Adjustment Run(s) for accuracy.

If you receive your final Tax Forms in January, verify them for accuracy before distribution to your employees.

Statement Self Service Users: Please remember that you are required to Release 2012 Tax Forms to enable registered employees to access them on line. Unless you chose the option to receive printed copies for all employees, printed copies will be produced only for employees who were not registered when you produced your last pay of the year. Your employees will have on line access, as long as they are still registered, when you release the Tax Forms.

February

ADP Canada will electronically file Tax Forms for all clients, except T4A-RCA, to Canada Revenue Agency (CRA) and Revenu Québec at the end of February. You must still file your Relevé 1 and Relevé 2 Summary with Revenu Québec using one of their supported formats (Clic Revenu).
IMPORTANT: Tax Forms electronically filed to CRA do not require summaries. T4A-RCA cannot be filed electronically. Revenu Québec still requires you to complete and submit a summary even if ADP has Electronically Filed Relevé 1 & 2 on your company's behalf.
If you receive your final Tax Forms in February, verify them for accuracy before distribution to your employees.
By the last business day of February ensure that you have sent out/mailed/postmarked the Tax Forms for your employees.

March

Prepare paper summaries for each applicable government agency and file by the required deadline(s). These include:
  • Ontario Employer Health Tax (EHT)
  • Manitoba HAPSET
  • Newfoundland & Labrador HAPSET
  • WCB/WSIB/CSST (in some jurisdictions)
Ensure you have included all Manual/Cancelled cheques in your current payroll.
Ensure name and address information is up-to-date.
Review missing or invalid Social Insurance Numbers to avoid penalties.
